The institution should have established protocols for welcoming an onsite visitor; this is for any visitor who may come to the institution and not just someone for an announced or unannounced agency visit. There should be further protocols added to the visitor policies and procedures for visitors from an outside organization, such as an accrediting or regulating agency, for both announced and unannounced visits. It important to choose the best person to be the point of contact, which may not necessarily be the campus director/president. When selecting the point of contact one must consider the individual’s knowledge of the campus and company. This individual should have personal characteristics such as good communication skills, the ability to multi-task, and professional behavior at all times. It is important that the point of contact, along with the back-up point of contact, be well informed of the institution’s policies and procedures. Also, they should have a deep knowledge of the institution’s catalog and addendums. The point of contact should not be a corporate employee’ typically the onsite visitor will want to work with a campus-level employee.

Select the right point of contact who knows the institution well, its programs, activities, and people. Be always ready with the right documents and resources. 

POC should have a good understanding of the campus curriculum, procedures and policies. 

It is important that the point of contact, as well as the back up point of contact, be well informed as to the institutions policies and procedures. Both should be campus level employees. The institution should also have established protocol’s when welcoming an on sire visitor. 

This module highlighted the importance of having a point of contact who is best matched for the role based on their knowledge of the institution, the familiarity with the campus, and ability to remain 'calm, cool, and collected'. It also emphasized the value in preparing a space on campus for the visitor to work and supplying it with appropriate materials that they can choose to use or not.

I've learned that you need a point of contact for the on-site visitors. This person need to have a deep understanding of every aspect of the school.

I learned that we have always be respectful to everyone that comes into our location. Treat everyone the same. I even teach this to my students. 

Be ready for any visit. Be welcoming. Assign the point of contact for an on-site visitor.

When assigning a point of contact and backup point of contact, it's important to consider the individual's institutional knowledge and personal characteristics.

It is important to keep your campus visitor ready and have a space available for them to work during the visit.  Ensure the area is clean and comfortable for the visitor.

Take the time to assign the best point of contact. It is best to choose someone who has knowledge of the company, the campus and all systems & processes. 

Plan to anytime visit. Welcome all visitors and announce the point of contact as soon as the visitor was identified. 

On site visit, be prepared all the time. 

Always have a space identified that can be used as a visiting team room. This room should have internet access, printer/copier access, telephone access and be equipped with necessary office supplies. It should be clean and free from anything that could be considered a FERPA violation. Ideally, this space would be in close proximity to your POC.

I appreciate the concept of having a full understanding of institutional policies and procedures as well as cataloge and other publications is an important part of the role contact points play.
