I know that in the department I work in, we have an "Internal Do Not Call" box that we can populate a date in. That way the student will no longer show up in our leads but if they call us, we're able to remove the date and begin contacting them again.

We have a field within our system which is called "Do Not Call". This field is populated once we hear from a student through phone conversation, email, or facebook, that they would like for us to no longer contact them or receive email correspondence from us in the future. Next, these students will show up in a filter to notify employee's to not contact them. Next to the admissions representatives notes field will be a "Do Not Call" attribute that will be populated on the date that the student reached out to be removed, and notes regarding the conversation will be included as well. If the representative notices a date populated in this field, they are not to contact student and move along to assist other students looking to enroll for their respected start date.

The only way to remove the "Do Not Call" attribute in the system is for the student to contact us, and send an email to be reinstated for contact by the institution which will be placed into their student file.

Hello class! My name is Eric. I am currently an admissions advisor at Ivy Bridge College of Tiffin University. I work with students who have already applied for college. Since they have already filled out the application they have do not fall under the DNC regulation. If a student asks to be removed or not called again, we remove them from the system and are not permitted to reach out to that student again unless contacted first.

We also have a "Remove" option in our computer system that will remove the person from the system so there application will not appear on our student list. We also have a "Remove Reason" dropdown option to better identify why that person no longer wishes to be contacted.

The school also uses a third party company to reach out and call prospective applicants to assist them in filling out the application. I am not aware of their regulations or guidelines.

I am interested in hearing feedback from people in the class to learn more about call policies are other institutions.

Once a student asks not be be called their application is removed from all call lists. Their information remains in our system in case the student decides he or she would like to enroll in the future, but they will not show up on any future call lists until the remove date is deleted.

Eric,

Hi! Thanks for your participation in the forum. Forum participants would you care to share your calling policies with Eric?

Cindy Bryant

Chad,

Hi. Thanks for sharing. Do you have any call policies that you can share that would be helpful for Eric?

Cindy Bryant

We use campusVue. We change the contact to DNC status and remove the contact.

If a student asks us not to call them, or the owner of the number, we have a red flag option we can post in the student's file that says Do Not Call. A lot of us also write DNC next to the phone number.

At our institution there is a DNC field in each student's file. If the student or the owner of the number asks to be placed on our DNC list, the employee talking to them can populate the field to DNC. Most of the time informing the financial aid representative of the student will also help to ensure the number is no longer called by any department.

Also, there is a remove reason in the student's file. This remove reason can also reflect the DNC status, so the number can be removed from any active student lists.

We have data field within our system that is selected as a removed student. A student will receive a remove date once they have indicated they no longer are interested, or want to be called. By them getting removed they are still in our overall data base but not under any active list unless they express interest again at a later date.

Out institution has various ways of tracking students who wish not be called. We do not make any cold calls to students that have not filled out a lead form or application so this is one way of not contacting these students. We also have a Call Center that uses a National Do Not Call Registry for Referred Lead and Inquiries. Along with that we have attributes within our student management system that can Remove a student that states to us they no longer are interested and don not want called. We can populate a Do No Call attribute, give a Remove Date, and Fag the student with a Reason.

We do not make unsolicited calls.

Diane,

Hi, when you mention 'unsolicited' calls, do you mean that the students call you? What happens if the student changes their mind and no longer wants to be contacted?

Cindy Bryant

We would then put them on the list not to contact.

Diane,

Hi, thank you for responding to the question.

Cindy Bryant

Our institution does not do cold calls so that keeps us from calling individuals that are on the do not call list, we also have the scrub system in place to make sure that we arent calling anyone that is on the list. We make calls to those individuals who request information

Our system scrubs leads against the do not call registry as well as older leads.

Our institution keeps everything updated in a program that shows the potential students status. If they are a Do Not Call it will show.
