Phillip,
This is an excellent way to start. Be sure to make the notebook user friendly and readily accessible.
I have a checklist that gives the requirements for both prerequisite courses and documentation needed for a complete student file.
I have set up a training binder with tabs following the modes as we go I am inserting the Statues and Rules that go along with the topic being covered. I have also added the requied paper work from the college that goes along with the topic we are on.
Betsy,
Checklists are excellent tools to make sure everything is covered and your school is compliant.
Linda
Excellent! You should be able to access what you need when you need it.
I am setting up three books. One regarding the Commission for Independent Education, one for Fair Consumer Practices, and one for the different topics that we are learning in this course. I will be adding any documents and paperwork that pertain to each category and I will be checking for updates on a regular basis.
I will be able to have all the resources of my books at my disposal in case I have to answer a question for my prospective student or discuss anything with them regarding the program in which they are interested in.
I have been copying and putting all of the lessons plus the rules and regulations into a three ring binder for easy reference.
We currently have a training Manuel checklist.
We use binders that also hold all of our other important Admissions documents...such as scripts.
We have 3 wring binders and our school has a checklist with the details you have to be trained on and signed off on.
Vicki,
Other suggestions would be a contact list, ad slicks, catalog and program information. Make it your own!
Vicki,
Having the information at your fingertips shows you are organized and aware of information needed by the students. Great job!
Corlee,
Excellent. Don't forget to visit them and keep them up-to-date.
George,
I am curious, who created the checklist and who verifies its completion?
Amid,
Are the scripts provided to you by Marketing or Admissions? What happens when the script isn't working?
John,
Make sure that the binders are current. Often after the initial development, it becomes easy to forget to revise. What is your plan for keeping the information current?
We have designed Student Files with TABS and into 4 sections. Yet the files are more costly, we have been able to have a checklist as a cover sheet for each section, and the department and TEAM internally Audit the student files on a monthly basis. This has worked very well for us, exspecially during our recent Audit. Everyone is held accountable, and together we cover all basis and human mistakes/error are found PRIOR to them causing any consequence.
Our school too uses 4 sided folders with cover page check lists so that when we do our final quality control over the entire student file we have everything that needs to be there, prior to student orientation or their first day of classes..
This is exactly what we do. We use a folder that is divided into 4 sections, and a checklist on top of each section. Then before class start, all files are audited by 3 people to ensure each file has the required paperwork from the student and departments. Works great, less mistakes post enrollment!
