Comment on Blake Cronin's post: I was also surprised to see information like date-of-birth was considered Directory Information as it is something I consider as a personal identifier. 

I tended to think of FERPA in relation to keeping student records private and secure. This module has increased my awareness of the requirements to respond to a student's request to access their own record.

Directory information can contain some things that I consider to be personally identifiable, but is okay to share as long as that is disclosed in advance and students are given the opportunity to opt out.

An institution has 45 days to respond to a records request.

 
 
 

This module emphasized the importance of having a thorough understanding of the institution, its programs, policies, and regulatory requirements in order to provide accurate guidance to students. It also highlighted the value of maintaining an updated Resource Notebook, ongoing communication with colleagues, and continuous training. I plan to apply this knowledge by regularly updating my resources, deepening my understanding of the institution, and ensuring that students receive clear and accurate information throughout their academic and career journey.

Admissions representatives must thoroughly understand the institution, its programs, student services, and marketing strategies to provide accurate guidance to prospective students. Engaging with faculty, staff, and materials firsthand, while ensuring compliance with regulations, is essential. Being well-informed and actively involved allows representatives to support students effectively and present the institution accurately.

I recognize my responsibility to provide students with comprehensive and accurate information regarding institutional policies, programs, licensure, accreditation, financial assistance, and any other essential details. Equally important is ensuring that students are fully informed of their rights and responsibilities. Maintaining proper documentation supports a transparent and compliant process, while delivering a thorough overview during orientation enables students to make well-informed and confident decisions. Furthermore, I have learned the value of using a checklist prior to conducting admissions interviews, as well as the importance of organization and clarity when presenting information.

I learned the importance of using accurate terminology in the admissions process and gained a clearer understanding of my role within the institution. This module helped me better understand Florida’s statutes, the responsibilities of an admissions agent, and the rules governing what can be communicated to prospective students. I also clarified the distinction between courses and programs and the importance of presenting educational offerings in compliance with Florida Department of Education regulations.
