Exiting with Grace | Origin: CM151

This is a general discussion forum for the following learning topic:

Onsite Visits – Be Ready Anytime --> Exiting with Grace

Post what you've learned about this topic and how you intend to apply it. Feel free to post questions and comments too.

I learned to stay professional, avoid giving unnecessary information, choose my words carefully, and respond with facts based only on what I know to be accurate.

I like how this leans into simplicity in the interaction with the auditors

The exit interview is an important step in the auditing process and it helps if both points of contact and another member of campus leadership is available for the meeting.  Do not argue with the findings but definitely ask clarifying questions and possibly offer additional information that may clear the organization of a potential citation.

This module taught me the importance of listening carefully, taking notes, and asking questions during an exit interview. As an LVN Nursing Program Director, I will apply this by preparing my team for onsite visits, responding professionally to findings, and using feedback as an opportunity to improve our program and support student success.

Always be professional, follow protocol and be open to feedback. Know that there is a specific appeal process if necessary, but professionalism needs to be a constant, regardless.

How the entire process finishes is just as important as the start. Ask questions, take thorough notes, and always have a clear and detailed answer if needed. Tone of voice matters!

This topic reminded me that the end of an onsite visit is just as important as the beginning. A professional closing, thanking the visitors for their time, and making sure all requested information has been provided leaves a positive final impression.

Moving forward, I will continue to focus on being prepared, organized, and responsive throughout the entire visit. Clear communication, professionalism, and appreciation for the reviewers’ time help create a successful experience for everyone involved.

Visits may last 30 minutes to an hour and can happen any day of the week. Let’s stay calm, polite, and professional at all times before, during, and after the visit. There’s no need to argue; just be respectful and cooperative. Especially during the exit interview, showing grace and professionalism makes a strong impression.

Never argue, don't over share, be careful with your words, just state facts and answer what you truly know.

Make sure to know the difference between findings, citations or areas of concern to give the best answer during the exit meeting.

The point of contact and the back-up point of conduct, along with the campus president/director at a minimum, should be in the exit meeting. This is especially true if there are going to be a number of findings, citations or areas of concern, or if the information that is to be delivered is expected to be negative or confidential in nature.

The mini exit meetings are important as give the institution to make corrective actions or provides other documnets the next day to clear up some non-compliance issues or lack of documentation. Ask questions and ask for more clarifications is a great strategy to make sure all on the same page and have a clear understanding of the final exit report.

Be ready for the exit interview. Don't be argumentative about any of their findings, and ask for clarification if needed.

Be prepared, regarding findings. Don’t argue and watch your tone of voice if final results are in disagreement. Discuss possible response or corrective action plans.

Durante el exit meeting el point of contact puede (y es recomendado) tomar notas para preparar las respuestas y planes correspondiente.

I've learned that you should not argue with the on-site visitors during the exit interviews. Gracefully thank them for their review and wait for their final report.

I learned the correct way to reply to finding during a visit, which is " Thank you, we will look into your findings and look forward to seeing the full report."

Make sure all documentation is correct. If you have an issue or missing information remain calm, ask for a better way to fix the issue.

Conducting an exit is a critical component of the on-site visit, be sure to remain professional and let the evaluator know you look forward to the final report.
