Sounds good in theory, but how often are chief instructors actually able to meet with the student? How often are they successful in changing the person's mind about dropping? Have you made any changes in your operation as a result of these conversations?

How often do students stop by to take advantage of your services? What percentage of students get involved?
These are great resources. How do you get students to take advantage of them?
Do you have to report the results to someone? Do you need authorization to make changes to your course?
That sure seems like a lot of surveying. Do you notice fatigue or eventual disinterest from the students? Are there consequences to a student who stops completing the surveys? How are the surveys presented/completed? Paper? Online? Who compiles and distributes the results?
When you get this feedback do you share it with others who teach the same course? Are changes made departmentally or by individual instructors? Who coordinates the changes?
Sounds like your institution needs to focus on communicating course competencies to the admissions department. Have you offered to meet with admissions to help them understand what you present in your classroom?
What resources do your admissions people have available to them? How effective are they at identifying and solving problems?
Great example of being proactive and assuring that everyone is on the same page. I have to believe the admissions team appreciates the information and inclusion. Do the program directors also talk about the progress or problems of recently enrolled students? This could provide more feedback to the admissions people about issues to look for.
