1. Institutional Documentation Organization
It is mandatory to maintain a centralized folder (physical and virtual) for immediate consultation regarding the institution’s identity and legal status:
Licensure and Accreditation: The license issued by the Commission for Independent Education (CIE) must be visible. . It is important to note that. the granting of a license does not, in itself, constitute accreditation, which must be specifically disclosed if applicable.
Institutional Organizational Chart: The institution must maintain an organizational structure that clearly reflects the chain of authority and responsibility.
Policy Manuals: Administrative and academic policies must be officially adopted and communicated to personnel, including the responsibilities of officers, faculty, and staff.
2. Academic and Enrollment Documentation
The folder must contain the essential elements governing the relationship between the student and the university:
Complete Program Curricula: This includes detailed descriptions of each program, specific objectives, graduation requirements, and a list of courses with their respective credit or clock hours.
Enrollment Agreement: This serves as the binding contract between the institution and the student. It must include a detailed description of all costs, prorated refund policies, and requirements for completion.
Student Rules: Clear policies regarding student conduct, disciplinary actions, appeals, and grievance procedures for handling complaints must be published and followed.
3. Marketing and Transparency Practices
Under Fair Consumer Practices, the institution must ensure:
Advertising Materials: All marketing and promotional documents must be factual, accurate, and not misleading.
Information Disclosure: Prospective students must receive a copy of the institutional catalog—including all fees and costs—at least one week prior to enrollment or the collection of tuition.
4. Support Manuals and Guides
The existence and regular update of the following manuals are required for operational integrity:
Student Manual: Outlining academic policies and available student services.
Employee/Faculty Manual: Detailing qualifications, responsibilities, and the faculty's role in curriculum reassessment.
